Zapier is the right default for most solo consultants. It connects 8,000+ apps, the interface takes minutes to learn, and the free tier covers basic automations. You can have "new Calendly booking → create HubSpot contact → send Slack notification" running in under 10 minutes with zero technical knowledge. n8n is the better tool if you are technical enough to use it. It is open source, has no per-execution pricing (Zapier charges per task after the free tier), and supports complex logic — loops, conditionals, custom code nodes — that Zapier makes difficult or expensive. Self-hosted n8n is completely free with no execution limits. The trade-off is setup time and maintenance. Zapier is a managed service: you build a workflow, it runs, you forget about it. n8n's cloud plan starts free for 300 executions, but self-hosting means managing a server. For a consultant billing $150/hour, the 2-3 hours spent setting up n8n's infrastructure need to pay back through automation savings. The math: if you run 1,000+ automations per month, n8n saves real money. Zapier's Starter plan ($19.99/month for 750 tasks) gets expensive fast — the Professional plan ($49/month for 2,000 tasks) is where most active users land. n8n Cloud's equivalent is free for low volume and $20/month for 2,500 executions. Pick Zapier if you want automations running in minutes and do not want to think about infrastructure. Pick n8n if you are comfortable with a slightly steeper learning curve and want unlimited automation without per-task pricing. Most consultants start with Zapier and graduate to n8n when the Zapier bill gets uncomfortable.
