This is your first-week operating system as an independent consultant. Four tools, each handling a distinct phase: Calendly owns scheduling, Bonsai owns the commercial relationship, Notion AI owns project knowledge, HubSpot owns pipeline visibility.
The sequence matters. You cannot send a Bonsai proposal before the discovery call (Calendly). You cannot build the project workspace before you know the scope (Bonsai). You cannot update the pipeline before the deal is real (Bonsai signed). The tools follow the actual workflow logic.
None of these tools overlap in function. That's a deliberate design choice — every tool in this stack does one thing well, and the transitions between them are manual but fast. You can add automation later once the manual workflow is running smoothly.
